WhatsApp: known limitations and good to know

A few things that work differently from a normal WhatsApp chat. Read these before you start.

WhatsApp is a new way to reach your sellers. A few things work differently from a normal WhatsApp chat, so have a quick read before you start.

Your dealership has one registered WhatsApp number

All your staff share it, and whoever holds that phone sees every seller conversation. We can't send a message to just one colleague.

Messages from any other phone won't reach the seller, and we'll reply to let you know why. Your account manager can set up or change your registered number.

Replying to a specific message loses its link

WhatsApp lets you reply to a specific message, but we only pass on your text. The seller won't see which message you were answering, so make sure each reply makes sense on its own.

Every chat shows the name "Carwow"

WhatsApp can't show the seller's name. Instead, each seller message starts with a line naming the car, for example "Re: SX10 NUT". Use that line to check which sale it's about.

Numbers are reused for later sales

When a sale ends, its WhatsApp number goes back into our pool and can be used again. WhatsApp keeps one chat per number, so a new sale can carry on inside an old chat. Two sales running at the same time will always have different numbers.

Always check the registration line before you reply. If you message a chat between sales, we'll reply to let you know.

Your first message waits for the seller

We hold your first message until the seller accepts the chat invite, then send it straight away. The contact panel shows the current status.

A quiet day can delay the next message

WhatsApp closes a chat 24 hours after the last message, so we have to check consent again before passing anything on. This can take minutes or hours.

If the pause was on your side, we'll send you a short message. Reply to it and any waiting messages arrive at once.

Answer our consent message with the buttons

A typed reply counts as a yes, even if you write "no". The button is the only way to say no.

Also good to know

  • Seller messages arrive at any time. We hold back our own status updates between 21:00 and 08:00.

  • We delete message content after 60 days, so keep your own copy of anything you might need later.

  • We record and monitor messages for security. Standard WhatsApp charges apply.

Tell us what works: WhatsApp is brand new, so we'd love your feedback. Contact your account manager and include your dealership name, the vehicle registration, the date and time, what you expected and what happened, plus a screenshot of the chat if you have one.
